US Payroll Lead

Lead and manage all aspects of US payroll operations, ensuring accurate, timely, and compliant processing for a multi-state workforce. Oversee end-to-end payroll cycles including regular, off-cycle, and special payments while maintaining strict adherence to federal, state, and local tax regulations and wage and hour laws. Drive operational excellence through process improvements, system optimization, and automation initiatives. Ensure financial accuracy through rigorous audits, account reconciliations, and support for month-end and year-end closing processes. Serve as the subject matter expert for payroll compliance, system functionality, and best practices while maintaining comprehensive documentation and standard operating procedures.


Responsibilities

  • Oversee end-to-end payroll processing for all US employees, ensuring accurate and timely payment
  • Review and approve payroll calculations, deductions, and tax withholdings
  • Manage multi-state payroll compliance and regulations
  • Process off-cycle payrolls, bonuses, commissions, and special payments
  • Ensure accurate processing of garnishments, benefits deductions, and 401(k) contributions
  • Ensure compliance with federal, state, and local payroll tax regulations
  • Maintain compliance with wage and hour laws (FLSA, state labor laws)
  • Conduct payroll audits to ensure accuracy and compliance
  • Implement system updates and test new functionalities
  • Identify and implement process improvements and automation
  • Maintain payroll documentation and standard operating procedures
  • Reconcile payroll accounts and prepare journal entries
  • Support month-end and year-end closing processes
  • Handles employee inquiries allocated in the ticketing tool queue, provinding resolution within SLAs.                              
  • Responsible for follow-ups on ticket’s pending inputs and closure. Ensure timely and accurate resolution of all inquiries and requests.

 

Requirements

  • College Degree or bachelor’s in business administration, HR, Finance, Economics or related areas.
  • Minimum 3 years experience in the field of personnel administration and Senior HR / Payroll experience.
  • Experience processing complete cycle of US payroll (Canadian payroll could be a plus).
  • Knowledge of applicable state laws governing payroll processing and payments in the US (incidents, taxes, benefits, calculations, W2, etc.)
  • Working experience at SSC (Shared Service Center) environment (Tier level support, escalation, ticket handling, ...)
  • Good knowledge of SAP (payroll), surrounding systems environment and relationship with HR Vendors (Payroll, Time Management, Benefits, Pension, ...)
  • Good knowledge of MS Excel and other MS Office tools in order to handle data building, template uploads and data review with significant data sizing.
  • Ability to work effectively in an environment subject to changing priorities and short deadlines.
  • Experience with Migration of HR processes from countries to a Regional HR Hub
  • Self-starter with a proactive and inquisitive nature who can anticipate and pre-empt problems.
  • Advanced english skills.
